How Urjadata Solar Renewable Energy Private Limited collects, uses, and protects personal data.
Last updated:
1. Who we are and what this covers
Urjadata Solar Renewable Energy Private Limited operates UrjaOps Platform. This policy explains what personal data we handle, why, and what rights you have. It applies to our website and the Service.
We act as a data fiduciary / controller for account and billing data, and as a data processor for the project data you put into your workspace — for that, see the Data Processing Addendum.
2. What we collect
| Category | Examples | Why |
|---|---|---|
| Account | Name, email, password hash, workspace and role | To create and secure your account |
| Workspace content | Projects, deadlines, registers, documents, notes you enter | To provide the Service to you |
| Billing | Plan, transaction reference, invoice details | To take payment and meet tax obligations |
| Technical | IP address, browser type, timestamps, error logs | Security, abuse prevention, debugging |
| Communications | Support emails and their contents | To answer you and keep a record |
We do not collect payment card details. Card data is entered directly with our payment gateway and never reaches our servers.
3. Why we process it (lawful basis)
- To perform our contract with you — providing, securing, and supporting the Service.
- Legitimate interests — keeping the Service safe, preventing abuse, improving reliability.
- Legal obligation — tax, accounting, and lawful requests.
- Consent — where we ask for it (e.g. optional product emails). You can withdraw it at any time.
4. AI processing
When you use an AI feature, the content you submit is sent to our AI provider to generate the draft. Your data is not used to train models. Do not paste personal data you do not need in a prompt. AI output is a draft and must be verified — see the Acceptable Use Policy.
5. Who we share it with
We share personal data only with service providers who help us run the Service, and only as needed:
- Hosting and database — to run and store the application.
- Payment gateway — to process subscription payments.
- Email delivery — to send reminders and transactional email.
- AI provider — to generate drafts you request.
The current list of sub-processors is in the Data Processing Addendum. We may also disclose data where required by law, or to protect our rights or someone's safety. We do not sell personal data, and we do not share it for advertising.
6. Where your data is processed
Some of our providers process data outside India. Where that happens, we rely on contractual protections with the provider and transfer only what is necessary to provide the Service.
7. How long we keep it
- Workspace content — while your account is active, and until you delete it or ask us to.
- Account data — for the life of the account, then removed or anonymised on request.
- Billing records — retained as long as tax and accounting law requires.
- Logs — kept for a limited period for security and debugging, then deleted.
8. How we protect it
Data is encrypted in transit. Access is restricted, workspaces are isolated from one another at the database layer, and destructive operations are guarded. No system is perfectly secure, but we work to reduce risk and to respond quickly if something goes wrong.
9. Your rights
Subject to applicable law (including the Digital Personal Data Protection Act, 2023), you may:
- Access the personal data we hold about you and get a summary of its processing.
- Correct data that is inaccurate, incomplete, or out of date.
- Erase your data where we no longer need it for a lawful purpose.
- Withdraw consent where consent is the basis for processing.
- Nominate someone to exercise your rights if you die or become incapacitated.
- Complain to us, and then to the Data Protection Board of India.
To exercise a right, email support@urjaops.com. We may need to verify your identity. Erasure is currently handled manually on written request — there is no self-service delete yet. We aim to respond within 30 days.
10. Grievance officer
If you are unhappy with our response, escalate to Manish Patel at contact@urjaops.com. Details are on the Contact page.
11. Cookies and local storage
We use only what the Service needs to work — see the Cookie Policy. We do not use advertising or cross-site tracking cookies.
12. Children
The Service is for business use and is not directed at children. We do not knowingly collect a child's personal data. If you believe we have, contact us and we will delete it.
13. Changes
We may update this policy. Material changes will be notified by email or in the Service. The "Last updated" date above always reflects the current version.
